1. Agreement
By creating an account, clicking "Access System," or using PermitArc (the "Service"), you agree to these Terms of Service ("Terms") and our Privacy Policy. If you do not agree, do not use the Service.
2. Who we are
The Service is operated by Permit Pulse LLC ("PermitArc," "we," "us," or "our"). Questions about these Terms: support@permitarc.com.
3. What PermitArc is
PermitArc is a compliance intelligence tool for small businesses that are already operating. It helps you store and organize compliance documents you already have (such as permits, licenses, insurance certificates, and leases), track expiration dates, receive alerts, and use AI-assisted chat and document scanning grounded in your uploaded records and, where applicable, verified official sources.
Typical uses include:
- Monitoring expiration dates and renewal timing (Expiration Radar).
- Reviewing AI summaries of documents already in your Compliance Binder.
- Asking location-scoped compliance questions about your uploaded records.
- Receiving Weekly Regulatory Patrol briefings on recent official rule changes relevant to your ZIP and business type.
- Reviewing Proactive Compliance suggestions when your vault may have gaps or inconsistencies.
- Saving important AI answers in your Intelligence Log.
4. What PermitArc is not
PermitArc is not a law firm, accounting firm, insurance broker, or government agency. We do not file permits for you, guarantee regulatory compliance, or provide legal, tax, insurance, or professional advice. The Service is informational and operational software only.
PermitArc is not designed to tell you how to open a brand-new business from scratch, and it is not a substitute for determining which permits, licenses, or filings you need before you operate. Most customers are expected to already know—or to obtain independently from official agencies and qualified professionals—the baseline requirements for their business. Do not rely on AI-generated document counts, checklists, or chat answers alone to decide whether you may open or operate a business.
5. AI-powered features
Certain features use artificial intelligence, including Google Gemini and related services accessed through our infrastructure. AI is used for document field extraction, regulatory Q&A, voice input/output, and automated scans such as Weekly Regulatory Patrol and Expiration Radar summaries.
You acknowledge that:
- AI outputs may be inaccurate, incomplete, outdated, or misleading ("hallucinations").
- Patrol may not identify every rule, notice, or change in your jurisdiction.
- A quiet week or "all clear" message does not mean you have no compliance obligations.
- You must independently verify all important dates, requirements, and AI-generated statements with official government sources and qualified professionals before relying on them.
We do not use your uploaded documents or chat content to train public foundation models. Your content is processed to provide the Service to you, as described in our Privacy Policy.
6. Your responsibilities
You are responsible for:
- The accuracy of information you enter or approve after AI extraction.
- Maintaining valid renewals and uploads (including replacing expired documents with newly scanned records where the app requires it).
- Configuring notification channels you control (email, SMS, etc.).
- Ensuring you have the right to upload and store documents you submit.
- Complying with all laws applicable to your business.
7. Accounts and security
You must provide accurate registration information and keep credentials confidential. You are responsible for activity under your account. Notify us promptly of unauthorized access.
8. Your content
You retain ownership of documents and data you upload ("Customer Content"). You grant PermitArc a limited license to host, process, transmit, and display Customer Content solely to operate, secure, and improve the Service for you—including AI indexing, expiration tracking, and alerts.
9. Acceptable use
You may not misuse the Service, probe or breach security, scrape the platform, upload unlawful content, impersonate others, or use the Service to build a competing product. We may suspend or terminate accounts that violate these Terms or pose risk to the platform or other users.
10. Subscriptions and billing
Paid subscriptions are billed monthly through Stripe on our website — charged when you subscribe (paid upfront from day one). Pricing, renewal, and cancellation rules are shown at checkout and incorporated into these Terms.
14-Day Satisfaction Guarantee: If you cancel within fourteen (14) days of your initial subscription charge, you may request a refund of your subscription fee minus interactive AI usage (AI chat and document scans) consumed during that period, as shown on your in-app Intel Deck meter. Used interactive AI allowance is not restored or credited on refund. Weekly Regulatory Patrol, expiration alerts, and proactive vault review are included in your subscription and are not deducted from your refund. Voice read-aloud features do not consume meter credits. Refund requests: support@permitarc.com or your Stripe customer portal when available.
Promotional pricing (such as introductory coupons), if offered, will be disclosed at checkout. We do not offer unpaid free-trial periods that delay your first subscription charge unless explicitly stated at sign-up.
11. Our intellectual property
PermitArc owns the Service, software, branding, and underlying technology, except for Customer Content and third-party materials. You receive a limited, non-exclusive, non-transferable license to use the Service during an active account.
12. Disclaimers
THE SERVICE AND ALL AI OUTPUTS ARE PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, PERMITARC DISCLAIMS ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT PATROL, RADAR, OR AI OUTPUTS WILL BE COMPLETE OR ACCURATE.
13. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, PERMITARC AND ITS OWNERS, OFFICERS, EMPLOYEES, AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE, DATA, OR BUSINESS OPPORTUNITIES, ARISING FROM YOUR USE OF THE SERVICE OR RELIANCE ON AI OUTPUTS.
OUR TOTAL LIABILITY FOR ANY CLAIM ARISING OUT OF THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID PERMITARC IN THE TWELVE (12) MONTHS BEFORE THE CLAIM OR (B) ONE HUNDRED U.S. DOLLARS (US$100).
Some jurisdictions do not allow certain limitations; in those cases our liability is limited to the fullest extent permitted by law.
14. Indemnification
You agree to defend and indemnify PermitArc against claims arising from your Customer Content, your violation of these Terms, or your violation of applicable law, except to the extent caused by our gross negligence or willful misconduct.
15. Termination
You may stop using the Service at any time. We may suspend or terminate access for violation of these Terms, non-payment (when applicable), or to protect the Service. Upon termination, your right to use the Service ends. Sections that by nature should survive (disclaimers, liability limits, indemnity, dispute terms) will survive.
16. Changes
We may update these Terms. Material changes will be posted in the app or on our website with a revised effective date. Continued use after changes become effective constitutes acceptance.
17. Privacy
Our Privacy Policy explains how we collect and use personal information and is incorporated into these Terms by reference.
18. Governing law
These Terms are governed by the laws of the State of California, USA, without regard to conflict-of-law rules, except where mandatory consumer protections in your home state apply.
